Why Is Data Recovery So Expensive?
Because the work needs a cleanroom, professional imaging hardware and donor parts, and because most labs price by how difficult your job turns out to be rather than by a published rate. The underlying costs are real. The four-figure quotes are a pricing choice on top of them.

What actually makes data recovery cost money?
Four things, in roughly descending order.
- Technician time. Imaging a failing drive is not a fast process. Bad sectors have to be read slowly, retried, and sometimes approached from a different direction, and a large drive can take days on the imager rather than hours.
- Equipment. The core tools of this trade, PC-3000 and DeepSpar Disk Imager, are professional hardware systems costing thousands of dollars, not software you download. Chip-off and monolith work needs its own separate tooling again.
- Donor parts. A drive with failed heads needs replacement heads from a matching drive: same model, often the same firmware revision and manufacturing batch. Sourcing one frequently means buying a whole working drive to harvest one component.
- Failed jobs. Under no data, no fee, a lab earns nothing on every recovery it doesn’t complete. Those hours are paid for by the jobs that do succeed. This is the part customers rarely see and it is a genuine driver of price everywhere in the industry.
A cleanroom sits behind all of it, because opening a drive in ordinary room air lets particles onto the platters that the heads then crash into.
So why do quotes reach $2,000 or $3,000?
Because most labs use severity pricing. The drive is evaluated, the failure is classified as logical, mechanical or severe, and the quote follows from the classification. Under that model a difficult job costs a lot and an easy one costs less.
That is a defensible way to run a lab, and it isn’t a scam. The problem is that you can’t know the number before you commit. You ship the drive, you wait, and the price arrives at the moment the lab is holding your property and you badly want it back. Does it have to be expensive?
No, and $300 Data Recovery exists to demonstrate that.

In plain terms: a hard drive 1TB or smaller is $300 at $300 Data Recovery, $500 between 1TB and 6TB, and $700 above 6TB. Any SSD up to 6TB is $500. A phone recovered in our lab is $500 flat.
The failure type does not move the price. A clicking drive needing a full head swap in the cleanroom costs the same as one with a corrupted partition table, if they’re the same size.
How can a flat rate work if hard jobs cost more to do?
It works by averaging, and it’s worth being open about the trade.
$300 Data Recovery makes less margin on the difficult jobs than a severity-priced lab would, and makes that back on the straightforward ones. In exchange, every customer gets a price they can check before shipping. It’s a deliberate business decision, not a hidden discount that gets clawed back later.
The parts of a job that genuinely can’t be averaged are billed separately and stated up front: donor parts at our cost with no markup, a transfer drive from $125, and return shipping at $20 to $25. Nothing else is added.
Is a cheaper lab a worse lab?
It’s a fair question and you should ask it of anyone, including us.
The equipment in this field isn’t proprietary. $300 Data Recovery runs PC-3000 and DeepSpar Disk Imager, the same platforms the large labs use, operates its own cleanroom, and performs head and platter work on site rather than outsourcing it.
There are honest limits, and we’d rather name them than imply we can do anything. A BitLocker or FileVault drive can’t be decrypted without your password or recovery key, by anyone. Physically scratched platters may be past recovery. Most helium-filled drives have welded covers and firmware the recovery community hasn’t cracked, so internal repairs on those often aren’t possible in-house.
What should I ask a data recovery company before shipping?
Five questions. The answers tell you most of what you need to know.
- What is the price for a device of my capacity, in writing, before I ship it?
- What do I owe if you recover nothing? Ask for the complete exception list, not the headline.
- Are donor parts extra, and if so, at cost or with a markup?
- Do you open drives in your own cleanroom, or is that sent elsewhere?
- If I decline the quote, who pays return shipping?
A lab that answers all five plainly is a lab you can price. A lab that answers “call for a quote” is asking you to find out later.
